JOB INFORMATION
Job Title:Customer Service Representative
Hours/week:35-40 (Negotiable)
Pay Range:$8-$10/hour
FLSA Status:Non-Exempt
Reports To:Executive Director

SUMMARY
The Customer Service Representative offers a broad range of initiatives supporting the Coutts Museum of Art, and provides initial professional impression, administrative support and retail operations; ensuring maximum customer satisfaction to Museum constituents.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
1.Provides initial impression of Museum to all visitors
2.Performs exceptional customer service, greet, direct and actively interacts and assists all visitors
3.Ensures that visitors have signed the visitors’ log
4.Provide information about the Museum’s history and gallery information to guests as they enter the Museum
5.Arranges for coverage through volunteers for any time off requests and coverage
6.Assists in support of all Museum events as assigned
7.Includes Saturdays, and some Sundays and evenings
8.Aid Executive Director in relationship with all service contractors
9.Meet, escort, and supervise contractors requiring access to secure areas
10.Reviews daily transactions to insure correct input into any and all correct databases as needed
11.Checks and takes mail to the Post Office daily and gives to Executive Director for distribution
12.Creates supply orders for all office and operational supplies needed for entire museum
13.Maintains cleanliness throughout the entire Museum daily
14.Answers all calls and routes all calls to other staff as appropriate
15.Performs other duties as assigned

QUALIFICATIONS

1.Knowledge and understanding of general museum environment
2.Computer literate with experience in several platforms, including Excel and Word. Prefer experience in Podio, Quickbooks, and/or GiftWorks, and any other software used for tracking donors and/or collections
3.Ability to compile and maintain records for personnel/volunteer scheduling and event scheduling such as Google Calendar
4.Ability to communicate in English in a clear and concise manner, both orally and written
5.Ability to work a flexible schedule that accommodates the growing needs of the Museum

EDUCATION and/or EXPERIENCE
1.College degree (AA); or two years of operations experience in customer service or other museum experience; or equivalent combination of education and experience

CERTIFICATES / LICENSES/REGISTRATIONS
1.Applicant must possess current, valid driver’s license and (reliable and insured) vehicle
2.A current working cell telephone with a number that can be accessed (by voice and text) for contact purposes

LANGUAGE SKILLS
1.Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
2.Ability to write routine reports and correspondence
3.Ability to deal effectively and courteously with the diverse world in which we live
4.Ability to speak and understand English. Bilingual is a plus
